Privacy Policy
1. Who we are
Genesis Virtual Team (“GVT”, “we”, “us”, “our”) places Filipino Virtual Professionals with businesses in Australia and beyond. This policy covers this website (genvt.com), our application and careers forms, and GVT OS, the operating platform our staff, Virtual Professionals, partners and clients use to run that work, including features that connect to Google services.
2. Information we collect
- Applications and enquiries: the details you give us when you apply to join GVT or ask about hiring a Virtual Professional: name, contact details, location, work history, CV and supporting documents, referee details, and your answers to our questions.
- Account information: for GVT OS users, your name, email address and role as provided by your organisation.
- Gmail data: when a GVT OS user connects their Gmail account, we access email messages, labels and metadata solely to display and manage email within GVT OS. We access only the minimum needed for the mail and outreach features.
- Google Drive and Meet data: when a user connects Google Drive, we read meeting transcripts and notes from the folder they choose so they can be summarised and attached to the right client record.
- Google Calendar data: when a user connects Calendar, we read and create events so interviews and meetings booked in GVT OS appear in their calendar and invitees receive an invite.
- Usage data: activity logs, timesheets, end-of-day reports and leave requests submitted through GVT OS, and standard website analytics (Google Analytics).
- Client, candidate and lead records: business contact details and interaction history entered by our team, or that arrive through our website forms and outreach.
3. How we use it
- To assess applications, run interviews and reference checks, and place Virtual Professionals with clients.
- To provide GVT OS features: recruitment, client management, HR, mail, calendar, reporting and the client portal.
- To display a user’s Gmail messages inside GVT OS and send emails on their behalf when they use the compose or outreach features.
- To send interview bookings, reminders and service updates to candidates and clients who are dealing with us.
- To generate activity logs and reports for internal management and quality.
4. Google API Services: Limited Use disclosure
GVT OS’s use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. Specifically:
- We only use Google user data to provide the email, meeting-notes and calendar features within GVT OS.
- We do not use Google user data to develop, improve or train generalised AI or machine-learning models.
- We do not transfer Google user data to third parties except as necessary to provide the service, or as required by law.
- We do not use Google user data for advertising or marketing purposes.
- We do not allow humans to read Google user data unless the user gives affirmative consent, it is necessary for security purposes, or it is required by law.
5. Storage and security
Data is stored securely using Supabase (hosted on AWS) and Vercel, with row-level security so each person sees only what their role allows. All data is transmitted over HTTPS. Google access tokens are encrypted at rest. We do not sell personal data.
6. Sharing
We share candidate profiles with prospective clients as part of placement, with the candidate’s knowledge. We use service providers (hosting, email delivery, AI assistance for drafting and summarising) who process data on our instructions. We may disclose information where the law requires it.
7. Retention
We keep applicant and client records for as long as needed for recruitment, placement and our legal obligations. GVT OS account data is retained while the account is active. Gmail data is synced and cached only as long as needed for the mail feature to work and is not permanently stored beyond that.
8. Your rights
You can ask us to access, correct or delete your personal information, or to stop contacting you, by emailing the address below. GVT OS users can disconnect Google accounts at any time from Settings, which stops all Google data access. We handle personal information in line with the Australian Privacy Act 1988 and the Philippine Data Privacy Act 2012.
